How to use these Release Notes

The release notes are organized by solution area.  The UC identifier refers to a specific Use Case within the AssetOptics software development lifecycle (SDLC).  An explanation of the Use Case and delivered functionality follow.  If there are any configuration requirements, they will be listed in the Setup Requirements following the use case explanation.  The setup requirements should be used by your system administrator to plan and execute the AssetOptics managed package upgrade.

Dispatch Console

UC-0211        Service Region custom object replaces picklist

The Asset and Work Order contain a picklist field called Service Region.  When a Work Order is created for an Asset, the Work Order Service Region is set to that of the Asset.  This picklist value can also be directly entered or updated on the Work Order without having an effect on the Asset.  The Dispatch Console contains a filtering field for Service Region.  This filter enables the user to filter the list of Work Orders presented in the Task Grid.

Since the Service Region is a picklist, the values presented to the user could not be controlled by record level security and thus in a multi-site org, all users were able to see all Service Regions.  To address this issue, the Service Region picklist was replaced with a reference to a new custom object; Service Region.

The Service Region custom object is referenced from the Asset and the Work Order.  The functionality offered remains the same.  If a Service Region is specified on an Asset, that Service Region is populated to the Work Order.  The Service Region on the Work Order can be directly entered or updated on the Work Order.  The Service Region is available as a filter field on the Dispatch Console.

Since the Service Region is now an object, you can implement standard record sharing rules; i.e. owner or criteria based.  By enabling record sharing rules, Service Regions can be selectively shared in a multi-site deployment if so required.

Setup Requirement:  If you are utilizing the standard AssetOptics profiles and permission sets, object and field level security will be updated upon upgrade.  If you are using org-specific profiles and/or permission sets, then provide appropriate access to; the Service Region object, Service Region lookup field on the Asset Tag object, and Service Region lookup field on the Work Order object.

UC-0245        PM Routes

PM Routes provide an alternative to PM Schedules and PM Group Schedules.  While the latter enables the creation of a single Work Order linked to a single Asset Tag, the former provides the ability to associate a single Work Task to many Asset Tags along Route Stops and automatically create parent/child Work Orders.  The user interacts with the parent (Route) Work Order while the child (Route Stop) work orders are recorded to the Asset Tag’s Work Order history.

Setup Requirement:  If you are utilizing the standard AssetOptics profiles and permission sets, object and field level security will be updated upon upgrade.  If you are using org-specific profiles and/or permission sets, then provide appropriate access to the following:

  1. PM Route object.
    1. Current Work Order – Read Only for all profiles.
    2. Last Work Order Completed – Ready only for all profiles.
    3. All other fields – Edit access
  2. Route Stops object.
    1. Planned Hours – Read Only for all Profiles.
    2. All other fields – Edit access
  3. Work Order object.
    1. PM Route – Read Only for all Profiles.
    2. Route Stope – Read Only for all Profiles

The fields specified above for Read-Only access are updated by APEX code and should not be directly edited by users.  You can reference the package permission sets of PM Schedules – Create Edit and Work Management – Work Orders as examples for object and field-level security settings.

Work Management

UC-0243        Replaced all references to Work Order Status Num field.

The Work Order contains a Formula Field called Work Order Status Num.  This is a numerical cross-reference to the Work Order Status.  It was originally designed to make formulas and reporting filters easier to code/configure.  However, this design approach has made many formulas very long in the compiled string length.  Removed all references to the Work Order Status Num field and replaced with the text string from the Work Order Status picklist field.
